1. Introduction

This policy explains what EnglishMate collects, why, who helps us process it and how you can delete it. It covers the website englishmate.io, including the Vocabulary Playground, and the EnglishMate mobile app.

The short version: the website works without an account. The app saves your learning history in your account so you can review it. We do not store recordings of your voice, we do not use your conversations to train AI models, and we never sell your data.

2. Data We Collect on the Website

You can browse the website and use the Vocabulary Playground without creating an account. We collect:

  • Technical data such as IP address, browser type and the pages requested, kept in standard server logs for security and troubleshooting.
  • Your name, email address and message when you send the contact form, used only to reply to you.
  • Your email address when you join the launch waitlist, used only to tell you when the app is available.
  • Usage statistics collected with Google Analytics, such as pages visited, approximate region and device type.

3. Data We Collect in the App

The app needs an account so that your progress follows you. In your account we store:

  • Account details: email address, display name, a securely hashed password or your Google account identifier, and your time zone.
  • Learner profile: English level, goal, preferred accent, correction style, practice reminder times and notification preferences.
  • Conversation text: the messages you type and the written transcript of what you and the tutor say during voice calls.
  • Learning records: corrections you received, your recurring mistake patterns, word review history and story progress.
  • Usage and subscription records: minutes used, call duration, plan and purchase status. These contain no conversation content.
  • Device data: a push notification token, app version, app language and crash reports.

We do not store audio. Your speech is processed in real time to produce the tutor's reply and is then discarded. No voice recordings are kept by us or by our real-time audio provider.

4. How We Use Your Data

We use your data only to run and improve the service:

  • To hold conversations with you and generate the tutor's replies and corrections.
  • To save your history, corrections and word progress so you can review and practise them.
  • To send the reminders and notifications you have switched on.
  • To measure voice minutes and apply your plan.
  • To find and fix crashes and understand which features are used.
  • To answer your messages and requests.

We do not use your conversations or your voice to train AI models. We do not show advertising in the app, and we never sell or rent your data.

5. Service Providers

These companies process data on our behalf, only to deliver the service:

  • Google: the Gemini API generates tutor replies and speech; Firebase delivers push notifications, crash reports and app analytics without the advertising identifier; Google Analytics measures website visits; Google Play handles purchases; Google Sign-In is available if you choose it.
  • Groq: speech recognition and language processing for some conversations.
  • LiveKit: carries the live audio of a voice call between your phone and the tutor. Recording is disabled.
  • DigitalOcean and Cloudflare: hosting, content delivery of pictures and network security. Pictures and word audio contain no personal data.

Each provider receives only what it needs for its task and is not permitted to use it for its own purposes. We may also disclose data when the law requires it.

6. Storage, Security and Retention

Data is encrypted in transit, passwords are stored only as secure hashes, and access to production systems is limited to the people who operate the service.

We keep your learning history while your account is active so that you can review it. Your plan may limit how far back the app shows correction history. Billing and minute records are kept as long as accounting and tax rules require.

7. Deleting Your Account and Data

You can delete individual conversations, or your whole account, from inside the app at any time under Profile. Deleting your account removes your conversations, corrections, mistake patterns, word progress, reminder times, notification preferences, push token and learner profile, and replaces your email address with an anonymous placeholder.

Anonymous accounting records, such as minutes used and purchase status, are retained without any conversation content. You can also ask us to delete your data by email.

8. Cookies and Analytics

The website uses cookies and local storage to remember your language and similar preferences, and Google Analytics cookies to measure visits. You can block cookies in your browser; the site will still work.

The app uses Google Analytics for Firebase to count screens viewed and events such as sign-in. Collection of the advertising identifier and ad personalisation are switched off. Analytics never includes the text of your conversations.

9. Your Rights

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data
  • Delete your data
  • Object to or restrict certain processing
  • Receive a copy of your data in a portable form
  • Withdraw consent, for example by switching off notifications or analytics where offered

Write to us to exercise any of these rights. We do not charge a fee for reasonable requests.

10. International Transfers

Our servers and providers may be located outside your country. Whenever data is transferred, we rely on providers that offer appropriate contractual and technical safeguards.

11. Children's Privacy

EnglishMate is not intended for children under 13, and we do not knowingly collect their personal data. If you are under 18, please use the app with the permission of a parent or guardian. If you believe a child has given us personal data, contact us and we will delete it.

12. Changes to This Privacy Policy

We may update this policy as the service changes. We will post the new version on this page and update the date at the top. Significant changes will also be announced in the app.
